Privacy policy
This section applies when you create an account on, or enrol in a course through, the Safety Innovation Academy learning platform at safetyinnovation.academy. It applies in addition to the rest of the policy pages.
1. What we collect about learners

| Learning progress | Lessons started and completed, percentage of course accessed, quiz answers and scores, time spent, completion date. | To deliver the course, track completion, issue certificates and apply our refund policy. |
| Questionnaire responses | Your answers to the pre-course and post-course questionnaires and readiness checks. | To help you see your own progress and to improve our courses. |
| Activity submissions | Worksheets, use-case descriptions and other activities you submit. | To deliver the course and give you feedback where the course includes it. |

1.1 Service providers
- LearnWorlds - learning platform, hosting courses, accounts, progress and certificates.
- Stripe - payment processing, processing course payments and refunds.
- LearnWorlds video hosting - streaming course video and recording playback event.
2. Who we share learner information with
In addition to the providers listed in Section 1:
- LearnWorlds hosts the learning platform and stores account, enrolment, progress, questionnaire, submission and certificate data on our behalf. LearnWorlds acts as our processor. Its privacy policy describes where it hosts data and the sub-processors it uses.
- Stripe processes payments for individual enrolments. We receive confirmation of payment and limited transaction details; we do not receive or store your full card number.
- Your employer, if your enrolment was purchased under a Team licence. Your employer's administrator can see your enrolment status, percentage progress, completion date and whether a certificate was issued. Your individual questionnaire answers and activity submissions are not shared with your employer unless you choose to share them; we may share questionnaire results with your employer in aggregate, de-identified form where five or more learners from the same organisation have responded.
- Facilitators and coaches engaged by us to deliver live sessions, who see the names and organisations of learners in their session and, where relevant to delivery, your submissions.
3. Recording of live sessions
We record some live sessions so that enrolled learners who cannot attend can watch later, and so we can review and improve our delivery. We tell you before a session starts if it will be recorded. You can keep your camera off, use a display name, and choose not to speak or use the chat. Recordings are available only to learners enrolled in that course or cohort and to our staff and facilitators and are not published elsewhere without your express consent. Recordings are kept for the period set out in Section 6.
4. Automated decision-making and AI
We do not currently use automated decision-making or AI tools to assess your work, decide whether you pass a course, or give you feedback. Course progress and completion are calculated by the platform from the lessons you complete. If we introduce AI-assisted feedback or coaching in future, we will update this policy and tell you before it applies to you.
5. International learners
The Academy is operated from Australia and our platform provider may store data outside Australia. If you are in the European Economic Area or the United Kingdom, the rights described in Section 10.3 apply to you, and the lawful basis for our processing is: performance of our contract with you (account, enrolment, progress, certificates, support); our legitimate interests in operating, securing and improving the platform; and your consent (marketing, session recording where you appear on camera or speak). You can withdraw consent at any time without affecting your course access. Where we transfer your data outside the EEA or UK we rely on standard contractual clauses or an adequacy decision.
6. How long we keep learner information
6.1 Account and enrolment records - while your account is active, then 3 years from your last login.
6.2 Learning progress, quiz results and questionnaire responses - while your course access continues, then 3 years from your last login.
6.3 Activity submissions - while your course continues, then 12 months, unless you ask us to delete them sooner.
6.4 7 years from issue, so we can verify certificates on request.

8.1. Purpose
This policy explains who owns the Safety Innovation Academy course materials, what you may and may not do with them, and what happens if the rules are broken. It forms part of the Learner Terms and Conditions. We have written it plainly because most breaches are careless rather than deliberate, and we would rather prevent them than pursue them.

That includes video and audio, slides, text, worksheets, templates, prompt libraries, the EHS AI Work Receipt, the Field Notes pack, questionnaires, quizzes, session recordings and the structure and sequence of each course. They are protected by the Copyright Act 1968 (Cth) and by copyright law in other countries.

- Circumvent any technical measure that controls access to the platform or the course materials.
8.5. Technical measures
We may use technical measures to protect the course materials, including access logging, download controls, session limits and visible or invisible watermarking of video and documents. Watermarks may include your name or account identifier so that leaked material can be traced to the account it came from.
8.7. Reporting infringement
8.7.1 If you find our course materials being shared or sold without authorisation, please tell us at concierge@pocketknifegroup.com. We will not identify you to the person you report.

8.6. What happens if this policy is breached
8.6.1 If we believe your account has been used in breach of this policy, we will usually contact you first and ask you to explain and to stop. Many breaches are misunderstandings and are resolved at that point.
8.6.2 For serious or repeated breaches, including sharing logins, redistributing course materials or building a competing product, we may suspend or terminate your account without refund, withdraw any certificate issued, and, where an employer holds a Team licence, notify the employer's administrator.

These terms apply when an organisation ("Purchaser", "you") buys seats in a Safety Innovation Academy course for its people. They apply together with the Learner Terms and Conditions, which bind each individual learner, and the Refund and Cancellation Policy. 9.6. Refunds
Refunds for Team purchases are governed by section 3 of the Refund and Cancellation Policy.
9.7. Intellectual Property The Copyright, Intellectual Property and Acceptable Use Policy applies to you and to each learner. You may not load course materials onto your own learning-management system or intranet, or use them in your own training programs, without a separate written licence from us.
9.8. Liability
Clause 13 of the Learner Terms and Conditions applies to you as Purchaser, with references to "fees paid for that Course" read as the fees paid under the relevant invoice.

10. Live Session Recording and Consent Notice
10.1. Recording and consent notice
If you do not consent, keep your camera off and microphone muted, and your contribution will be limited to what you type in chat, which is captured with the recording.
Safety Innovation Academy records some live and facilitated sessions. This notice explains why, what is captured, who can see it, and the choices you have.
10.2. Why we record
So that learners in the same course or cohort who could not attend can watch later, and so our facilitators can review and improve how sessions are delivered.
10.3. What is captured
The facilitator's audio, video and shared screen; the audio and video of any participant who has their microphone or camera on; and the session chat.
10.4. How you will know
The facilitator will tell you before recording starts, and the platform shows a recording indicator while recording is on. We will not start recording without announcing it.
10.5. Your choices
- You can keep your camera off for the whole session.
- You can keep your microphone muted and ask questions through the chat, or ask the facilitator to pause recording before you speak.
- You can use a display name rather than your full name.
- You can leave the session and watch the recording later.
- You can ask us to remove your contribution from a recording. Email concierge@pocketknifegroup.com within 14 days of the session and we will edit it out where practical, or remove the recording.
10.6. Who can see recordings
Learners enrolled in the same course or cohort, our staff, and the facilitators who delivered the session. Recordings are not published on public platforms, used in marketing, or shared with anyone else without your express written consent.
10.7. How long we keep them
12 months from the session date, or until the course is retired, whichever comes first.
10.8. Your consent
By staying in a session after recording has been announced, with your camera or microphone on, you consent to your image and voice being captured and used as described in this notice.
If you do not consent, keep your camera off and microphone muted, and your contribution will be limited to what you type in chat, which is captured with the recording.
11. Certificates and CPD Statement
11.1. What a certificate means
When you complete all the required elements of a Safety Innovation Academy course, the platform issues a certificate of completion in your name. The certificate confirms that you completed the course and its activities. It records the course title, your name, the completion date and a unique certificate identifier.
11.2. What a certificate does not mean
A certificate of completion is not a qualification, accreditation, licence or professional designation. It does not certify that you are competent in Microsoft Copilot or any other tool, and it does not certify competence in health and safety practice. It should not be described as a certification, and we do not describe it that way.

11.3. Continuing professional development
Many professional bodies allow members to record self-directed learning towards their continuing professional development (CPD) requirements. Whether a course counts, and how many points or hours it attracts, is decided by your professional body, not by us. The course page states the estimated learning hours, which is the figure most bodies ask for. Where a course has been formally recognised or endorsed by a professional body, the course page will say so.
